Job Description

The Executive Assistant will provide a high-level administrative and strategic support to ensure the seamless execution of executive functions and organizational priorities. This role demands professionalism, discretion, and exceptional coordination skills to manage sensitive communications, streamline workflows, and facilitate collaboration across departments. Acting as a trusted liaison between the CEO and key stakeholders, the Executive Assistant plays a vital role in enhancing leadership effectiveness, operational efficiency, and the overall performance of the company. Job Responsibilties At a very high level, your role will entail the following: Provide secretarial and administrative support services to the CEO. Act as custodian of sensitive matters and information relating to peculiar issues within the CEO’s office. Examine documents for the CEO’s review to ensure quality control and compliance with company’s procedures and policies. Supervise timely submission of technical bids and proposals across business unit. Monitor and manage the CEO’s internal and external correspondence. Develop corporate communication materials for the Company. Obtain weekly/monthly activity reports from departmental team leads and collate for the CEO’s review. Process requisitions for the CEO’s office. Provide assistance to the CEO in preparation of reports and presentations. Perform quality control checks on assigned CEO’s presentations to ensure proper formatting and elimination of errors. Respond to client queries and request on non-technical issues and escalate as required to the relevant personnel. Develop and maintain an efficient documentation and filing (electronic and hardware) process. Document internal and external minutes of CEO’s meetings and produce memos of such for review. Ensure and coordinate relevant and adequate logistics for the CEO and other events connected to the CEO’s office. Handle/supervise travel and other logistics arrangement for the CEO and other member of staff when required. Process official expenditures and claims for the CEO. Help the CEO manage workflow and office deadlines. Take and relay accurate and timely messages from telephone calls and respond to queries on behalf of the CEO where necessary Liaise with relevant individuals, external organizations, etc to arrange meetings and prepare agendas for the CEO. Liaise with various departmental heads as required by the CEO. Perform other duties as assigned by the Executive Director. Oversee the usage of company logistics such as DHL, Uber etc. Interface with ISPs to ensure uptime of internet services in the office. Key Competencies A Degree in Law, Business Administration or a related field. Minimum of 6 years plus work experience as an Executive Assistant, Personal Assistant or similar role. Proficiency in Microsoft Office Suite, with advanced skills in PowerPoint and Excel for creating professional presentations, reports, and data analyses. Ability to conduct research and create reports or presentations. Ability to handle sensitive information with discretion and confidentiality. Multi-tasking and time-management skills, with the ability to prioritize tasks. Highly organized and detail oriented. Excellent analytical and problem-solving skills. Strategic planning, ability to pay attention to details. Verbal and written communication, excellent client-facing and internal communication skills.
