Supply Chain Officer - Logistics and Operations

Overview

Responsibilities

• Asset & Facility Management:
• Maintain comprehensive and updated control of all organizational assets, including tracking donor details, asset value, and location, managing staff-related issues, and recording all asset movements and disposals.
• Oversee the issuance and return of assets to and from staff.
• Ensure all assets are in good condition and maintain accurate asset condition reports.
• Procurement and Supply:
• Oversee the procurement requirements of the Field Office and implement purchasing procedures according to approved guidelines, forms, and processes (including Purchase Requests, Purchase Orders, and Goods Received Notes).
• Check local market availability and prices for requested items and coordinate with the country office for any necessary procurement conducted there.
• Prepare a weekly summary of all outstanding purchase requisitions, indicating the current status of items and expected supply dates for project needs.
• Create monthly summary reports detailing procurement and logistics support functions, identifying operational challenges, and proposing solutions.
• Monitor procurement and logistics costs in collaboration with the Field Accountant to ensure that expenditures remain within approved budgets.
• Administration & Reports:
• Maintain all logistics and procurement files in an organized, accurate, and up-to-date manner.
• Line manage, coordinate, monitor, and guide the work of drivers and the supply chain assistant.
• Produce and share a weekly procurement tracker with the program manager and country office.
• Generate logistics and procurement site reports, along with vehicle and generator cost performance reports.
• Update the Asset Register and send it to the country office monthly.
• Revise the vehicle cost schedule and produce regular performance and cost reports for vehicles, sending them to the country office once a month.
• Adhere to all relevant Save the Children policies and procedures regarding child protection, code of conduct, fraud prevention, health and safety, equal opportunities, and other pertinent policies.
• Work closely with finance and administration departments to ensure smooth operations and foster a strong team spirit.
• Carry out any additional tasks as required by the line manager.
• Safeguarding:
• Ensure that all suppliers and service providers are well-informed about SCI safeguarding policies before engagement.
• Oversee vehicle operations and drivers’ performance to minimize or eliminate accidents.

Requirements

• Bachelor's Degree (BSC) or Higher National Diploma (HND) in relevant fields; a Postgraduate qualification in related areas is preferred.
• Membership in a recognized professional supply chain organization is an advantage.
• Experience Requirements:
• Transport and Logistics
• Desired Years of Experience in a Similar Role: 3
• Proven experience in procurement and logistics within International Non-Governmental Organizations (INGOs)
• Experience working in a field-based environment with security challenges.
