Finance Assistant - Full Time in Abuja

Overview

Responsibilities

• Finance Responsibilities (50%):
• Review all financial transactions to ensure thorough documentation and necessary approvals are in place.
• Analyze attendance records using the approved Database and prepare accurate payment schedules for participants of SMC personnel, ensuring attendance names match the Database and Schedules.
• Create payment vouchers while ensuring the correctness of cost classification and coding.
• Receive payment advice and attach relevant documents for organized filing.
• Prepare payment schedules for all meetings, workshops, training participants, and consultants.
• Safeguard the organization’s financial resources by scrutinizing all payment requests, TAFs, and PRFs, adhering to the Malaria Consortium Manual, Policies, and Procedures.
• Monitor stock levels of financial documents (forms, vouchers, receipts, etc.) and timely reorder materials before stockouts occur.
• Collaborate with the Finance Officer to ensure payment vouchers are raised with all supporting documents for each transaction and properly filed.
• Advise the Finance Officer on emerging financial issues and share areas of concern with suggested solutions.
• Maintain an Excel journal template for recording all completed payments and share with the Finance Officer weekly for posting in financial records.
• Supplier Invoices Management (15%):
• Track all supplier and vendor invoices received by Finance Officers.
• Prepare invoice payments and secure approvals from authorized personnel.
• Operations-Related Tasks (30%):
• Oversee the scanning, filing, and archiving of all financial documents, ensuring they are securely stored and easily accessible to the finance team.
• Ensure finance documents (Payment Vouchers) are organized according to the Malaria Consortium Finance Manual filing requirements.
• Track all payment documents to guarantee they are sent to and received by the Country Office.
• Execute additional duties as required by the Finance Officer, Accountant, and Finance Manager, which may include (5%):
• Support audits by providing necessary documents.
• Assist in asset spot checks and physical verifications.

Requirements

• Essential:
• Bachelor’s Degree or Higher National Diploma in Accounting, Finance, Business Administration, or related Social Sciences.
• Minimum of 1 year post-graduation experience in a finance team, with at least 6 months in a finance or accounting support role.
• Desirable:
• Experience working with an International Non-Governmental Organization (INGO) is a significant advantage.
• Proficient working knowledge of Microsoft Excel and relevant software applications.
• Work-based skills and competencies:
• Understanding of NGO donors and their specific financial reporting requirements.
• Exceptional computer skills with high proficiency in Microsoft Excel.
• Strong analytical and reporting capabilities.
• Demonstrated ability to manage and prioritize multiple tasks effectively.
